New Version of iSurvey Inspector App Available (With Bug Fixes) – Important Information for Users

It’s been a couple of weeks since we issued the latest version of the app and we’re grateful to our clients for their comments about the new Check Out report and other features.

Based on this feedback we’ve made a new version of the app available to fix a couple of small bugs and this is can be downloaded here for Apple users: www.isurveyapps.com/install or from the Goole Play store for Android users.

We also wanted to explain a couple of things and remind you about some time saving tools in the app.

Check Out Report

When you copy a Check In report to be a Check out with photos it isn’t possible to delete any Check In photos from the Check out.

We felt this was a reasonable approach which is fair to Tenants, Agents and Landlords as it means the person completing the Check Out can’t be selective about what to include or exclude – for example a photo showing a defect was already evident at Check In whilst claiming it is new at Check Out.

We do plan to enable Check in photos to be made full screen for closer inspection by tapping the thumbnail and will let you know once available.

Photo Orientation

Since the launch of IOS 11 a small number of Apple users have noticed that all of their photos appear in iSurvey reports in portrait despite the shot being taken in landscape.

This is because they have their screen lock on. You can turn your Screen Lock on and off here:

Time savers

Remember you can swipe between Rooms and Items to help you navigate round the app quicker

All Items can be allocated to one Condition Rating using the button in Inspection areas; useful for refurbs or doing the second inventory on a property that was new first time round

Room Copy replicates all Items in the Room (but not Photos or Observations)

Item Copy saves you time when there is commonality in a property e.g. colour/condition/type of Door, Flooring, Radiators etc

New Update and Features Available for iSurvey Inspector on iOS and Android

Great news – there is a new version of iSurvey Inspector available. It has lots of new features including improved check-out functionality.

To update your app please follow the below instructions:

iOS (Apple) users please visit isurveyapps.com/install and install version 3.0.0 by following the listed instructions.

Android users please visit the Google Play Store and search for iSurvey Inspector and install version 3.0.0 and your app will be updated automatically.

You will lose no data whilst updating the app, however it is always good practice to save all reports beforehand.

Here are some of the new features available:

New and improved Check Out format:

Very easily insert changes of condition of the property within ‘View Report Content (Offline)’. The default PDF is now a concise summary highlighting these changes, making it very easy to compare differences.

  1. When an Inventory & Check-in report is copied to a Check-out all sections now have a Check-out input section.
  2. Use the ‘View Report Content (Offline)’ to input all new data and photos.
  3. To add any changes to item descriptions and/or conditions, select the observation column and insert photo(s), responsibility & explanation.
  4. The PDF produced by default is now a concise summary highlighting these changes. It very clearly shows comparisons of the condition of the property between the beginning and end of the tenancy. This makes it easier to view any damage or maintenance work required. The full PDF is also available to download from the website if required.
  5. The tenants forwarding address details can now also be inserted in the ‘Tenants Details & Declaration’ screen.

(Note – if you want to alter the Item Condition rating options at Check Out – you can do this in Settings >> Report Types >> Check Out >> Condition Descriptions. Amend as required and ensure you tap Save. You will need internet access for this process.)

Improved Star Rating process:

You can now add a bespoke cleaning description within the Cleanliness Star Rating Section by tapping on the standard description above each star rating and inserting your own text using the keyboard or voice recognition.

There is a new option within the Inspection Areas screen labelled “Change ‘overall condition ratings’ for all items” allowing you to change the star condition rating as required across all Items in the Report. For example, you can move all from 5 star to 4 star at once, saving you a huge amount of time.

 

Updated features:

We have also added additional options to our current sections, allowing you to produce even more comprehensive reports:

  1. Appointment Details – you can now insert a property reference number.
  2. Inspection Conditions – a new boiler section has been added.
  3. Meters – a solar option has been added to the drop down list and also in all meter sections you can add an access number and supplier details.
  4. Keys – a set of keys option has been added to the drop down list allowing you to easily add details for a bunch of keys.
  5. Alarms & Detectors – the section title has been changed to allow a Heat detector option to be included in the drop down list.
  6. Item Colour – you now have the ability to add your own bespoke colour using free text or voice recognition.
  7. iSurvey Inspector can now be used in both portrait and landscape mode.

 

New photo features:

The photo quality throughout iSurvey Inspector has been improved giving you sharper images to view.

You now have a default option of either using the camera or selecting from your library when taking a photo.

When using the camera you can now take as many photos as required without having to leave the screen. A huge time saver.

To make the camera lighter or darker tap on a light or dark part of the screen and it will adjust accordingly; to zoom in or out pinch the screen.

 

To download the latest versions of Apple iOS and iSurvey Inspector:

  1. Make sure you’ve previewed all reports and saved all templates to our server within your current app. There is no need to delete the app as you will just be updating the current version.
  2. Make sure you’re running the latest version of at least iOS 10 (on your iPhone or iPad go to Settings, General, About, then check version number – you will probably have an update instruction waiting).
  3. On your iPhone or iPad, go into Safari and head to www.isurveyapps.com/install
  4. Click the latest version (3.0.0), select Install and the app will begin to install in the background, click the home button on your device to exit Safari
  5. If you are asked to trust us as a developer (on your iPhone or iPad go to Settings, General, Profiles and ‘Trust’ Property Inventory Management Ltd)
  6. Continue to use iSurvey.

 

To download the latest version iSurvey Inspector for Android:

  1. Make sure you’ve previewed all reports and saved all templates to our server within your current app. There is no need to delete the app as you will just be updating the current version.
  2. Search for ‘iSurvey’ in the Google Play Store and download version 3.0.0.
  3. Continue to use iSurvey.

The Tenant Deposit Scheme in Scotland is now 5 years old – are all Landlords complying?

As part of our ongoing dialogue with the Tenant Deposit Schemes, our colleagues at Safe Deposit Scotland have asked that we highlight the importance of Landlords and Agents complying with the TDS Scheme which is now 5 years old.

On 2nd July 2017, tenancy deposit schemes turn five years old. However, we know that many landlords may not have complied with the Tenancy Deposit Schemes (Scotland) Regulations 2011 yet, particularly as many may still not be aware of their legal requirements.

SafeDeposits Scotland is one of three schemes and the only one based in Scotland with 60% of the market. We have compiled information for landlords on how to comply.

Why should I protect my tenant’s deposit?

If a landlord in Scotland takes a deposit from their tenant, they must:

  • Transfer the deposit to a government approved tenancy deposit scheme;
  • Provide the tenant(s) with particular key information.

The deposit must be transferred, and the key information provided to all tenants on the tenancy agreement, within 30 working days of the tenancy start date.

This is required under the Tenancy Deposit Schemes (Scotland) Regulations 2011.

What happens if I don’t protect my tenant’s deposit?

If a landlord fails to comply with the Regulations, a tenant can apply to the Sheriff Court for financial penalties. If the Sheriff is satisfied that the landlord has failed to comply they can order the landlord to pay the tenant up to three times the amount of the deposit.

How do I comply?

To comply with the Regulations, and avoid financial penalties, you should:

  • Register a user account with SafeDeposits Scotland;
  • Add the deposit details (i.e. tenancy address, tenancy start date, deposit amount and tenant’s name and contact details) to your account;
  • Transfer the deposit by online banking, debit card or cheque;
  • Provide your tenant(s) with a completed prescribed information form.

How much does SafeDeposits cost?

SafeDeposits is free to use and approved by Scottish Government. For more information, and to register, please visit the SafeDeposits website.

There is upcoming changes to the Scottish Private Sector Landlords on the Private Housing (Tenancies) (Scotland) Act 2016 with the introduction of the Private Residential Tenancy which will apply to any new tenancy created from December 2017, for more information on this please refer to the link https://beta.gov.scot/publications/private-residential-tenancies-landlords-guide/#private-residential-tenancies

Improved Offline Preview Feature Available For Inspector Property Inventory App – iOS & Android

We are pleased to announce that there is an exciting new version of the iSurvey Inspector property inventory app for both Apple and Android platforms.

We have developed a new interactive offline preview feature called ‘View Report Content (offline)’. This allows you to track the progress of the report you are producing offline even more easily, and also allows you to update your reports as you go.

All text and photos can be inputted directly from this feature. All you need to do is select the part of the report you’d like to edit (meter reading/ inspection area/ item observation/ photo, etc), and the system will then automatically take you to the corresponding area within the app.

From here you can then input or update the information within the report.

Once the data/ photo has been inserted, press ‘Done’ and you will be automatically taken back to the Offline Preview where the report will have been updated.

This new features makes producing and updating reports much more intuitive and saves lots of time.

Important: It’s vital that you keep your Apple iOS and Android platforms, as well as the iSurvey app itself, updated to the latest versions to ensure there are no bugs within your system. Otherwise we can’t guarantee that the Inspector app will run correctly and you may encounter problems. See latest versions below for instructions on keeping these up to date.

To download the latest versions of Apple iOS and iSurvey Inspector property inventory software:

  1. Make sure you’re running the latest version of at least iOS 9 (on your iPhone or iPad go to Settings, General, About, then check version number – you will probably have an update instruction there if you’re using an old version). If you need more help with this, go here.
  2. On your iPhone or iPad, go into Safari and head to www.isurveyapps.com/install
  3. Click the latest version (2.8.0) and confirm that you trust us as a developer (if you have any issues with this you can find help here)
  4. The app will begin to install in the background, click the home button on your device to exit Safari.
  5. Open the app and login as normal.

To download the latest version iSurvey Inspector for Android:

  1. Make sure you’re running the latest version of the Android operating system. You can learn how to update your operating system here.
  2. Logout of the system (Settings>>Logged in As>>Log Out).
  3. Search for ‘iSurvey’ in the Google Play Store and download.
  4. Login as normal.

New Update Available For Android Property Inventory Software

We’re releasing a new update for Android users of the iSurvey property inventory app. This update gives Android users access to the new offline preview feature that was released for Apple users last month.

Previewing offline means you can track the progress of your report accurately wherever you are, even if you are without an internet connection.

You can access the offline preview feature by clicking ‘Quick Report Preview (Offline)’ from the main menu within a report on the app.

Alongside this new feature, the Android update for our property inventory software includes several performance improvements to ensure your app runs smoothly and fast.

Important: It’s vital that you keep your Android platform, as well as the iSurvey app itself, updated to the latest versions to ensure there are no bugs within your system. Otherwise we can’t guarantee that the Inspector app will run correctly and you may encounter problems. See latest versions below for instructions on keeping these up to date.

Logout of the system (Settings>>Logged in As>>Log Out).

Delete the current app from your device.

Login as normal.

New Features Available For Inspector Property Inventory App

We’re happy to announce the latest updates for our property inventory software, Inspector, on Apple and Android platforms.

Included for iOS is a new offline preview feature, which means you can accurately see how your report is progressing without needing to be connected to the internet. We’re working on bringing this feature to Android as soon as possible.

We’ve also added a new menu section within the app for both Apple and Android users for reporting smoke alarm and CO detector information more comprehensively, in order to comply with new regulations.

This is alongside general performance improvements.

Offline Preview

To view the report when on site without internet connection, just click on ‘Quick Report Preview (Offline)’.

The benefit of this new feature means that you can show tenants the inventory report when checking them in allowing them to sign on site and removing the need to print out the report. The whole process can then be made paperless as the report is emailed straight to the tenant (client) by using ‘Email Report’ once finalised.

This feature will also allow you to view what was included in previous reports e.g. reusing an inventory for the next tenant move in, or a periodic property inspection. You can work room by room, quickly reviewing then amending any item conditions or adding observations and photos as required.

Smoke Alarm & CO Detector Section

In line with new regulations there is now a separate section to input details for the smoke & CO detectors present at the property. Just click on ‘Smoke Alarm & CO Detectors’, select ‘+’, and insert the location, whether they have been tested and photographic evidence.

  1. Make sure you’ve previewed all reports and saved all templates to our server within your current app
  2. Delete the current app from your device.
  3. Make sure you’re running the latest version of at least iOS 9 (on your iPhone or iPad go to Settings, General, About, then check version number – you will probably have an update instruction waiting).
  4. On your iPhone or iPad, go into Safari and head to www.isurveyapps.com/install
  5. Click the latest version (2.7.1) and confirm that you trust us as a developer (on your iPhone or iPad go to Settings, General, Profiles and ‘Trust’ Property Inventory Management Ltd)

3 Quick Ways To Create Inventory Reports Faster When Using iSurvey

Our Inspector property inventory app allows you to create inventory, inspection, check-out and legionella risk assessment reports in the simplest way possible.

Top priority for our development team is ensuring you can create reports as quickly as possible, while at the same time providing a system that encourages reports that are fully legally compliant.

Since we all know time is money, here’s 3 quick ways to speed up your reporting process using iSurvey when out in the field.

Add photographs in bulk

One of the most time consuming parts of creating inventory reports is the process of taking photographs and uploading them to each individual item within the report.

The best way to speed up this process is to take all the required photographs for the area, and then add them collectively to that room using the multiple select photos from library feature, enabled in the latest iOS and Android updates.

The only downside to this process is that all the photographs will appear at the beginning of the room, rather than with each individual item and their description.

After this, you can then go into each area and add any required observations within the property inventory software.

Start reports back at the office

Another time consuming part of compiling an inventory report is entering all the background information of the property into the app.

The best way to speed this up is to compile this part of the report back at the office. Here, you have access to all the property’s information on your office computers such as full address, safety features, and number of rooms, and so it’ll take far less time.

We’d also recommend setting up the correct number of rooms for the property, and putting them in the right order within the app. This way you can get right to work as soon as you arrive.

Use pre-populated reports

This is the single best way to speed up the process of creating inventory reports on iSurvey’s property inventory app. Pre-populated templates, when set-up on your system, normally assume the following things:

  • Woodwork, ceilings and doors are white.
  • Fixtures and fittings within rooms are in an acceptable condition.
  • This may not sound like much, but if you’re entering this exact same information for 250 items within a report, you can see why this is such a time saver.

    Other normalities can be set-up on your account – just ask. Pre-populated templates also save time in that they provide a sense of uniform to your reports, prompting you to report on specific items and in a pre-decided order.

    On the app, it will look something like this:

    Android Update Available for Inspector Property Inventory App

    We’re happy to announce the latest Android update for Inspector, our property inventory software.

    The app carries over many of the features introduced in the previous iOS update, which help save even more time when producing inventory, inspection and check-out reports.

    Here’s a round-up of what’s included in the new update:

    Multiple select photos

    Multiple select photos for Android means you can add photographs to your reports faster, and gives you the choice between either taking photographs as you go, or taking them in advance and adding them to your reports in bulk later on.

    To use this feature, you must enable it within the ‘Report Settings’ tab of the app.

    Save photos to device library:

    If you’d prefer to use the normal iSurvey property inventory app camera, that’s fine as well.

    To help you, we’ve added the option in Settings to save full resolution versions of photographs automatically to your camera roll when using the iSurvey camera. This means you can have access to originals, which could be useful in the event of a dispute.

    Multiple delete items and photos:

    Deleting lots of items and photos within reports can be time consuming over the course of compiling an entire document. As such, we’ve introduced a feature in the property inventory app whereby you can delete multiple at once. Just tap all the items you wish to remove, and delete all at once.

    Room copy:

    As enabled in our previous iOS update, we’ve now carried across the popular copy room feature to Android.

    This time saving features allows you to copy entire rooms and their contents within reports – particularly useful in newly refurbished properties where most of the decor and fittings are the same room-by-room.

    The ‘2 pieces of paper’ icon has to be selected to copy a room – all data is then copied apart from photos and observation text.

    Swipe to next area:

    In the new update you can now swipe between rooms, rather than going in and out of the navigation. To use this, just swipe left or right anywhere on the screen to move within the report.

    2. Logout of the system (Settings>>Logged in As>>Log Out).
